Frequently Asked Questions

Common questions about our Virtual CFO services

What does a Virtual CFO actually do?

A Virtual CFO provides the strategic financial leadership of a full-time Chief Financial Officer on a fractional basis — typically for a fraction of the cost. The scope usually includes monthly financial close oversight, cash-flow forecasting, budgeting and variance analysis, KPI reporting and dashboards, board and investor reporting, fundraising support, banking relationships, treasury management, pricing analysis, and long-range financial modeling. We adapt the scope to what each company actually needs: some clients want a few hours per month of advisory support, while others engage us as their outsourced finance function.

When should my business hire a Virtual CFO?

Most businesses benefit from Virtual CFO support once they reach $1M–$10M in annual revenue, when financial decisions start to have real consequences but a full-time CFO (typically $200K+ in base compensation plus benefits and equity) isn't yet justified. Other common inflection points include: preparing for a funding round, negotiating a bank line of credit, entering a new market or geography, integrating an acquisition, preparing the business for sale, navigating a cash crunch, or replacing a departing controller or bookkeeper with a more strategic function.

How is a Virtual CFO different from a bookkeeper or controller?

A bookkeeper records transactions and reconciles accounts — it's an operational, historical function. A controller oversees the accounting team, owns the monthly close, and ensures the books are accurate and compliant. A CFO is a forward-looking strategic partner focused on decisions, capital structure, investor relationships, and long-term value creation. Our Virtual CFO engagements assume a capable bookkeeper is already in place (we can refer one if not), and we operate above the controller function to focus on strategy, planning, and executive-level financial leadership.

Can you work with my existing accounting team and software?

Yes. We work with clients across QuickBooks Online, Xero, NetSuite, Sage Intacct, and other mid-market ERP platforms, and we regularly collaborate with existing in-house bookkeepers, controllers, and external accounting firms. Our goal is to complement, not replace, your existing finance function. For clients without an internal team, we can build one — including recommending software, setting up the chart of accounts, designing close processes, and implementing reporting dashboards.

How are Virtual CFO engagements priced?

We typically price Virtual CFO engagements as a fixed monthly retainer based on the agreed scope of services, reviewed quarterly and adjusted as your needs change. Smaller engagements (monthly reporting, quarterly strategy meetings, annual budget) generally range from $2,500 to $5,000 per month. Larger engagements involving weekly executive presence, fundraising support, board reporting, and complex modeling range from $5,000 to $15,000+ per month. All scopes are quoted through a formal proposal — no surprise hourly charges.

Do you help with fundraising, M&A, and exit planning?

Yes. Our capital markets background makes us particularly effective on transaction-adjacent work. We help clients prepare investor decks, build three-statement financial models, run sensitivity and scenario analyses, manage due diligence data rooms, and coordinate with investment bankers, attorneys, and other deal professionals. For clients planning an eventual sale, we can run a multi-year exit-readiness engagement focused on cleaning up financials, documenting adjustments, and maximizing enterprise value.
